Storage validation

Storage validation from 9 November 2026: stages and deadlines

From 9 November 2026, Microsoft validates the storage capacity of Dataverse-only tenants. If your tenant is over 100% after borrowing between database, file and log, fixed stages apply:

  1. From day 0

    Restricted

    You can no longer create, copy or restore environments; refreshing a sandbox from production is blocked as well.

  2. After 30 days

    Administration mode

    Only administrators can open affected sandboxes.

  3. After 60 or 90 days

    Disabled

    No one can sign in to affected sandboxes anymore; the data is retained. Message center post MC1483519 says 60 days, Microsoft Learn says 90 days.

Production environments remain accessible. The restrictions end as soon as the tenant is back below 100%.

Cost over the entitlement per storage type

Database

€34.70 per GB per month

The most expensive storage type: Microsoft’s list price for additional database capacity in Germany. Large items are often system data: completed and waiting system jobs (AsyncOperationBase), workflow logs (WorkflowLogBase), import history.

Log

about €8.68 per GB per month, estimated

This is where the audit log lives (AuditBase). Every logged change adds to it; if retention is set to “Forever”, Dataverse deletes no entries.

File

about €1.74 per GB per month, estimated

Note and e-mail attachments (AnnotationBase, Attachment). Inexpensive per GB, but often the largest volume.

Microsoft’s options: delete, long-term retention, buy capacity, Synapse Link

  • Delete data Lowers consumption permanently. Deleted audit logs cannot be restored; afterwards you can no longer show who changed what and when.
  • Long-term retention Only in Managed Environments and without audit tables; attachments do not get smaller.
  • Buy capacity or use pay-as-you-go Closes the gap and costs money every month. Only the missing storage type helps: file capacity does not cover a database deficit.
  • Audit export through Azure Synapse Link Works only with the Delta Lake profile, which is no longer available to new customers from 15 October 2026.

How it works

Check, clean up and archive per storage type

Checking is free. Cleanup and archiving are part of the license. Your administrator sets up the solution themselves, following the handbook and using a setup checklist in the app that shows what is still missing.

The Storage Check reads from your tenant every day and stores its own snapshot, because Microsoft’s APIs only return the current value.

  • Monitoring of the plug-in trace level and the deletion service for system jobs

Archive

The app exports every completed month per table to your Azure Blob Storage and verifies the export. A month is removed from Dataverse only after you confirm it.

Attachments Planned

The Storage Check already shows the number and size of note and e-mail attachments. An archive for attachments is planned; we will announce a date once it is set.

Until then, Microsoft’s options remain for files: delete, long-term retention or buy capacity.

Evidence

Only what is proven to be in the archive is removed from Dataverse

In the audit archive, the app removes a month only once its entries are proven to be in the archive, audit ID by audit ID, and you have confirmed it. Before and after every deletion job, it stores an evidence object in your storage. If entries that should still be there are missing afterwards, for example in the neighboring month, it sets a safety stop.

    The solution works inside your Dataverse environment: as a custom API that a Power Automate flow from the solution calls.

  • Archive in your storage

    Audit entries go only to your Azure Blob Storage. Support for S3-compatible storage is planned.

  • No access for NXTGN

    NXTGN has no access to your environment and sees no audit content.

  • Your roles apply

    Who may see archived entries is governed by your Dataverse permissions, the same ones that apply to audit in Dataverse.

What does the Storage Check cover, and what does it cost?

The Storage Check is free and changes none of your data. It reads the capacity of the tenant and its environments per storage type, converts the overage after borrowing into euros, and shows tables with rows and growth, attachments and recommendations. To do this, it only stores its own daily snapshots in tables of the solution.

Microsoft provides the size of individual tables in GB only in the admin center, not through an API. The app therefore shows rows and growth per table; you find the GB values in the admin center under “Consumption per table”.

How is my price calculated?

By the Dataverse storage that Capacity Control manages for your tenant: database, file and log as Microsoft counts them, plus the audit logs that Capacity Control has moved to your archive. They count in full. Archiving therefore lowers what storage over the entitlement costs, not your tier.

The product measures the tier itself; the average of the 30 days before the contract starts is what counts, and you see the tier and price before you buy. The tier is reviewed once a year at renewal. If your storage grows beyond the tier during the term, you get a notice. One subscription covers the whole tenant, with all environments and all modules.

Will Capacity Control get my tenant below 100%?

That depends on where your storage goes. If the overage comes from system data in the database or from the audit log, the app reduces it directly: through cleanup and through the archive. If the large volumes are in e-mails, activities or attachments, the Storage Check shows their number and size; the app does not offer an archive for them yet. Then Microsoft’s options remain: delete, long-term retention or buy capacity. The Storage Check shows which case applies to you.

What does Capacity Control clean up in the database?

Data that Microsoft describes as cleanable: completed system jobs, import history, server-side synchronization trace messages and Copilot interactions, each with a minimum age that cannot be lowered. The app shows stuck workflow jobs per process, including those of deleted workflows, and cancels them in batches after your approval. You change the plug-in trace level directly in the app; for the deletion service for system jobs, the app shows its status and retention periods and takes you to the setting in the Power Platform admin center.

Does the app delete anything without my consent?

No. Cleanup rules run only after preview and approval by an administrator. The app removes audit months from Dataverse only after successful verification and your confirmation. The daily reconciliation on the server deletes nothing.

What do I need for setup?

A system administrator of the environment who imports the solution and follows the handbook; the setup checklist in the app shows which steps are still missing. For the capacity figures of the whole tenant, a Power Platform administrator signs in to the connections of the included flow once. The archive also needs an Azure storage account; the Storage Check and cleanup work without Azure.

How current are the figures?

As current as Microsoft’s data. Microsoft evaluates capacity about every 24 hours; after deletions, it can take up to 72 hours until the figures reflect them. The app retrieves the figures daily and shows the date they are from. Row counts per table are at most 24 hours old.

Where is the archive stored, and does S3 work too?

Today only in Azure Blob Storage in your Azure subscription. Support for S3-compatible storage is planned; we will announce a date once it is set. In our test environment, 1 GB of audit took up about 0.17 GB in the archive; 100 GB of audit would therefore come to about 17 GB. What that costs depends on your Azure agreement.

What about attachments and files?

The Storage Check shows the number and size of note and e-mail attachments. An archive for attachments is planned but not yet available; until then, the app makes no deletion suggestions for attachments.

Does this replace Microsoft’s long-term retention?

No, it complements it. Long-term retention does not take audit tables and requires Managed Environments. For inactive business data, it can be the right choice.

What happens when the contract ends?

The archive stays in your Azure storage and belongs to you. Without a valid license, archiving, removal and cleanup no longer start.
